Read-Print and Intelligent Inserting – The Cost Has Come Down
The concept of a “Read/Print” system has been around for a long time. It’s a form of highly personalized mail to ensure that a personalized document can be inserted into a closed face envelope with a matching name on the outside… in other words, something that does not look like “junk mail”.
In the past, many companies would address the envelopes in advance (as a separate step), try their best to keep them in perfect order, and then run them through the inserter. Manual inspections or cameras would ensure that the two items matched. But what if they don’t match? This requires you to stop the machine, and re-order your documents and envelopes until everything is back ‘in sync”, wasting countless hours of time and slowing the operation of the machine. The most cost effective alternative is to add intelligence, which involves scanning the personalized document as it feeds through the hopper of the inserter, tracking its progress through the inserter, and printing the correct name on the outside of the envelope as it exits the inserter.
Although this concept has been around for years, it’s been expensive technology. The good news, is that recent technological advancements have brought the cost down to a much more reasonable level. And in today’s economy, labor savings can be the difference of making a profit or losing the job.
The benefits of Read-Print technology are vast, and the payoff is big:
Lower Labor Costs – To run an inserter and an inkjet system for a single job would normally take two employees (one for each machine). It also requires two separate steps: 1) Addressing the envelopes in advance and 2) running them through the inserter in the same order as the document. But with intelligent inserting, the whole setup can be run by just one person… without increasing the chance for mistakes.
Higher Accuracy – The computer’s eye is going to keep track of the mail pieces a lot better than the human eye can. This means zero mistakes. It also means less down-time while trying to reconfigure the software and equipment after a mishap. When there are less mistakes, there is less waste.
Better Service – The more a mailer can offer to clients, the more loyalty those clients will have. With the decreased cost of Read-Print, even the smaller mailers can offer personalized and customized mailings. Clients will be much less likely to go to ‘other sources’ for their specialized needs. And those ‘other sources’ will be less likely to secure the rest of that client’s business.
Comply With Privacy Regulations – The financial, medical, and transactional industries are full of regulations concerning the privacy of their mail. This often makes an intelligent inserter necessary for some of the mailing jobs. With the lowered cost of Read-Print, now many smaller mailers can offer their services to such companies and appeal to a whole new branch of prospects.
So what are the costs for Read-Print technology? A new camera system can be installed on an inserter for as little as $17,000. Not bad, for something that could cut labor costs, provide accuracy and privacy, and open up doors to new clients. The equipment advances may have been slow to arrive, but now that it’s here (and now that it’s affordable), it creates a FAST way to create more business.
